Privacy and Data Protection
Privacy Policy
We collect only the information needed to run a high-touch photography service, protect customer bookings, and coordinate shoots with the Tetty team.
Who We Are
This Privacy Policy explains how TPS Collective Inc. operates Tetty's Photo Studio and handles personal information for photography bookings, events, support, and related services.
Contact: booking@tps-collective.com
Information We Collect
Booking details such as name, email address, phone number, country, selected plan, selected location, event reservation, requested date and time, guest or group count, optional add-ons, and customer notes.
Payment status and Stripe identifiers needed to confirm deposits, remaining payments, refunds, and cancellations. We do not store full card numbers or card security codes.
Operational information such as staff assignment, delivery status, notification status, support messages, and security logs.
Optional preferences such as whether you agreed to tag Tetty Photo Studio on social media for a guide gift.
How We Use Information
To confirm and manage bookings, temporary holds, event reservations, payments, cancellations, refunds, and remaining balance invoices.
To contact customers about meeting points, schedule changes, weather, reminders, support, and photo delivery.
To show owners, managers, and assigned photographers the information needed to operate the shoot safely and professionally.
To prevent fraud, debug service failures, keep audit records, comply with legal obligations, and improve service quality.
Service Providers
We use trusted service providers to operate the service, including Stripe for payments, Resend or email providers for email delivery, Slack for internal booking notifications, Google Calendar for operational scheduling, Amazon Web Services for hosting and storage, and Expo for staff app notifications.
These providers process information only as needed for the service they provide.
Staff Access
Owners and managers may access booking and customer information needed to operate the service.
Photographers may access contact details only for bookings or events assigned to them, so they can coordinate with customers.
Photos and Public Use
Photos from a session may be used for portfolio, website, social media, marketing, and promotional purposes unless you ask us not to use them publicly.
If you want your photos kept private or want a published photo removed, contact booking@tps-collective.com.
Retention
Booking, payment, cancellation, refund, and accounting records may be retained for up to 7 years where needed for legal, tax, and business records.
Operational contact information is kept only as long as needed for booking operations, support, fraud prevention, legal obligations, and service history.
Temporary holds and failed checkout attempts are removed only after they are safely past the selected shoot or event date and cannot affect a future booking.
Old notification content and technical payloads are minimized or redacted on an operational schedule so troubleshooting history can remain without keeping unnecessary personal details.
Your Requests
You may request disclosure, correction, deletion, or restriction of your personal information by contacting booking@tps-collective.com.
We may need to verify your identity before responding. Some records may be retained if required for payment, accounting, fraud prevention, legal, or dispute handling purposes.
Security
We use role-based staff access, encrypted network connections, managed secret storage, payment processing through Stripe, and reduced personal information in application logs.
No online service is perfectly risk free, but we work to reduce the amount of personal information exposed to only what is needed for booking operations.
International Processing
Our service providers may process data in countries outside Japan. We use these providers to deliver booking, payment, hosting, notification, and support functions.
Updates
We may update this Privacy Policy as the service changes. The latest version will be posted on this page.
